Terms and Conditions
The agreement between your clinic and the Provider when you use the Dental OS website and platform.

Who we are, and your agreement with us
Dental OS and the website dental-os.app are operated from the Republic of the Philippines by the owner and operator of the Dental OS service ("the Provider", "we", or "us").
These Terms and Conditions ("Terms") govern your access to and use of this website and the Dental OS platform, including trials and paid subscriptions. By visiting the site, creating an account, or using the service, you agree to these Terms. If you are accepting on behalf of a clinic or company, you confirm you have the authority to bind it.
Consistent with the Electronic Commerce Act of 2000 (Republic Act No. 8792), your electronic acceptance of these Terms — by checkbox, signup, or continued use — is valid and binding, the same as a written signature.
The service
Dental OS is practice-management software for dental clinics — charting, treatment plans, scheduling, recall, checkout and billing, and reporting. The service is provided as an online subscription ("SaaS"); we host it, maintain it, and improve it over time.
Dental OS is a tool for running a practice. It is not a medical device, it does not provide dental or medical advice, and it does not replace the professional judgment of a licensed dentist.
Accounts and registration
To use the platform you must create an account with accurate, current, and complete information, and keep it up to date. You are responsible for safeguarding your login credentials and for all activity under your account, including activity by your staff and other users you invite. Notify us promptly at hello@dental-os.app if you suspect unauthorized access.
Eligibility and account termination
Eligibility. Dental OS is intended and licensed for use by dental clinics and licensed dental professionals operating in the Philippines. By signing up, you confirm that you are registering on behalf of a dental practice and that the information you provide is accurate. The Provider may verify eligibility at any time and may request proof that you operate a dental clinic.
Account Suspension and Termination. The Provider may suspend or terminate any account — including trial and founding-cohort accounts — at its sole discretion. This includes accounts created by a party that is not an eligible dental clinic, accounts used outside the service's intended purpose, and accounts that breach these terms. Where the Provider terminates a paid account it determines to be ineligible, it will refund any unused prepaid amount for that account.
Founding Cohort. Founding-cohort pricing and lifetime-locked rates are available only to eligible dental clinics. Accounts found to be ineligible are not entitled to founding-cohort pricing, and any such pricing may be revoked.
Trials, subscriptions, and payment
Trials. We may offer free trials. A trial gives you full or partial access for a limited period; at the end of the trial, access continues only if you subscribe to a paid plan. We may change or end trial offers at any time.
Fees and billing. Paid plans are billed in Philippine pesos at the prices and intervals shown at checkout. Fees are inclusive or exclusive of applicable taxes as indicated; where taxes such as VAT apply, they are your responsibility unless stated otherwise. If a payment fails or an account becomes past due, we may suspend access until the balance is settled.
Founding-cohort rates. Founding-cohort accounts keep their locked rate for the plan they subscribed to, for as long as the subscription remains active and in good standing, subject to Section 04.
Refunds. Except as stated in these Terms (including the ineligibility refund in Section 04) or as required by Philippine law, prepaid fees are non-refundable.
Price changes. We may change standard pricing with at least thirty (30) days' notice before your next billing cycle. Price changes do not affect founding-cohort locked rates honored under Section 04.
Acceptable use
You agree not to:
- use the service for any purpose other than operating a dental practice, or in violation of any law;
- resell, sublicense, or share access to the platform outside your clinic;
- copy, scrape, reverse engineer, or attempt to extract the source code of the service;
- probe, disrupt, or circumvent security or rate limits, or upload malicious code;
- upload data you have no right to process, or use the service to infringe anyone's privacy or intellectual property.
Patient data and the Data Privacy Act
Your clinic's patient records belong to your clinic. Under the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules, your clinic is the personal information controller of the patient data you enter into Dental OS, and the Provider acts as a personal information processor, handling that data only to provide the service.
Patient health records are sensitive personal information. We implement reasonable and appropriate organizational, physical, and technical security measures to protect them, and we will notify you of any personal data breach affecting your data as required by law and the National Privacy Commission's rules.
Your clinic remains responsible for its own obligations as a controller — including obtaining patient consent where required, responding to data subject requests, and complying with record-retention rules that apply to dental practices.
If your subscription ends, you may export your data within thirty (30) days of termination, after which we may delete it from active systems. How we handle website visitor data is described in our Privacy Policy.
Your responsibilities as a clinic
You are solely responsible for the practice of dentistry in your clinic — diagnoses, treatment decisions, pricing, and patient communication — and for complying with the laws and regulations that govern your profession, including the Philippine Dental Act of 2007 (Republic Act No. 9484) and the rules of the Professional Regulation Commission. You are also responsible for the accuracy and completeness of the records your team enters into the platform.
Intellectual property
The Dental OS platform, website, branding, and all related software and content are owned by the Provider or its licensors and are protected by intellectual property laws. Your subscription gives you a limited, non-exclusive, non-transferable right to use the service for your clinic's internal operations — nothing more. Your data remains yours; you grant us only the rights needed to host and process it to run the service.
Availability, support, and changes
We work to keep the service available and fast, but no online service is uninterrupted — maintenance, updates, and events beyond our control can cause downtime. We may add, change, or retire features as the product evolves; where a change materially reduces core functionality you pay for, we will give reasonable advance notice.
Disclaimers
The service is provided "as is" and "as available". To the fullest extent permitted by Philippine law, we disclaim all warranties not expressly stated in these Terms, including implied warranties of merchantability and fitness for a particular purpose. Nothing in these Terms limits rights you hold under mandatory provisions of Philippine law, including the Consumer Act of the Philippines (Republic Act No. 7394) where it applies.
Limitation of liability
To the fullest extent permitted by law, the Provider is not liable for indirect, incidental, special, or consequential damages, or for lost profits, lost revenue, or lost data. Our total liability arising out of or relating to the service is limited to the amounts you paid us in the twelve (12) months before the event giving rise to the claim.
Nothing in this section limits liability that cannot be limited under Philippine law, including liability arising from fraud or gross negligence.
Indemnification
You will indemnify and hold the Provider harmless from claims, damages, and expenses (including reasonable attorney's fees) arising from your clinic's practice of dentistry, your breach of these Terms, or your violation of any law or third-party right in connection with your use of the service.
Cancellation by you
You may cancel your subscription at any time from your account or by writing to hello@dental-os.app. Cancellation takes effect at the end of your current billing period; Section 07 governs your data after that. Canceling a founding-cohort subscription ends the locked rate — rejoining later is at then-current pricing.
Governing law and venue
These Terms are governed by the laws of the Republic of the Philippines. Any dispute arising out of or relating to these Terms or the service will be brought exclusively before the proper courts of the city where the Provider maintains its principal place of business, to the exclusion of all other venues.
Changes to these Terms
We may update these Terms from time to time. For material changes we will give notice — on this page, in the app, or by email — at least fifteen (15) days before they take effect where practicable. Continued use of the service after a change takes effect means you accept the updated Terms. The "Last updated" date above always reflects the current version.
